Most youth-serving software scales its price with the number of records you keep, which quietly penalizes growth. BridgeCase never charges per young person or family served. Pricing is based on how your organization operates: staff users, programs, modules, and the governance you need.

Every package includes the complete participant-and-household record — one person, one household, many programs is never sold piecemeal. Packages differ in modules, governance, and the depth of support around them.

Essentials

For organizations running one or two programs on spreadsheets and inherited forms — a mentoring nonprofit, a neighborhood youth program, a small family-services team. Essentials puts the connected participant-and-household record at the center without asking a small staff to operate an enterprise system.

Counts the staff and authorized program roles who sign in — never the young people and families whose records you keep.
Programs and locations
How many programs, sites, and departments you're launching now, and what a realistic second phase looks like.

Pricing questions, answered plainly

Why don't you publish prices?

Because a single published number would be wrong in both directions. A two-person mentoring nonprofit and a county youth department differ enormously in staff users, modules, migration scope, and governance requirements — a flat price overcharges one and underserves the other. Instead, we scope your configuration in a short conversation and send a written, itemized quote you can circulate internally. We would rather quote accurately than advertise a number most organizations would never actually pay.

Do you charge based on how many young people or families we serve?

No. Pricing is based on staff users, programs, modules, and governance needs — never participant or household counts. A system that charges per record penalizes exactly the growth your funders are asking you to demonstrate, and it creates a quiet incentive to keep records out of the system. We priced BridgeCase so that the right answer — record everyone, connect every household — is never the expensive answer.

How do you work with nonprofit budgets?

Packages are sized to organizational scale, so a small team isn't paying for enterprise governance it doesn't need. We can phase modules across budget years to spread cost, and the itemized quote is written so it can go directly into a grant application or board packet. If a funder is covering part of the purchase, we'll structure the documentation the way that funder needs to see it.

Can we purchase on a multi-year agreement or with grant funds?

Yes. We align agreements to fiscal years, grant periods, and multi-year awards, and we can hold implementation timing to match when funds become available. For public-sector buyers, we work within your procurement process — RFP responses, vendor forms, security questionnaires, and contract review are part of the Public Sector & Education package, not an extra negotiation.

What do implementation costs actually cover?

Discovery of your current workflows and reporting obligations; configuration of programs, forms, statuses, roles, and terminology; migration and validation of the data your team approves; role-based training; and launch support with a scheduled post-launch refinement pass. It's one-time work quoted separately from software, and its size depends mostly on migration scope and how many programs launch at once. The implementation page describes each phase in detail.

Can we start small and add modules later?

That's the expected path for most organizations. Because every module reads and writes the same participant and household records, a module you add in year two attaches to the history you've already built — mentoring data doesn't need to be re-entered when you turn on internships. Starting narrow costs you nothing structurally.
